Ask an assistant to read your own website out loud. It knows more about your business at nine at night than most of your staff do, in whatever language the question arrived in. That's the honest starting point — the rest of this page is about the jobs nobody wants to do twice.
Start with the boring jobs
The best first AI project is almost never the impressive one. It's the ninety minutes a day somebody spends pasting enquiry text into a spreadsheet, matching invoices against orders by eye, or writing the same polite reply to the same four questions. There's a less exciting version of the same point: at this size, most of the win comes from one well-built form, one sensible rule for the inbox, and one automatic reminder before a quote goes cold. Sometimes that genuinely is all it takes, and we'll say so rather than selling you the second phase.
Four languages is the job, not a feature
A message at 22:40 in German, asking whether the reef trip is still running in February, is not an edge case on the north coast. It's a Tuesday. Most businesses answer the ones they can read and quietly lose the rest. The genuinely useful work is triage — reading an enquiry nobody on the team can read, deciding which language to answer in, and drafting it in your own voice rather than a machine's. Common questions
- Is a business this small able to get anything out of AI?
- If you answer the same questions, retype the same details or chase the same invoices every week, then yes. An hour a day is a working month a year, and a one-off setup costs less than a fortnight of a part-time hire. If the work isn't repetitive, we'll tell you that instead of building something for the sake of it.
- Will this replace my staff?
- No, and we'd push back if that were the aim. We take away the jobs people dislike so they can put their hours into customers instead. We've talked more than one client out of doing less than they originally asked for, which is the only direction that conversation should go.
- Our customers message us on WhatsApp, not email. Does that matter?
- More than most studios admit. For a lot of businesses here WhatsApp is the enquiry channel, not email, and it arrives at 22:40 from someone three streets away. We route those messages into the same place your email goes, and use the channel for confirmations and reminders. If your trade genuinely runs better on a phone call, we'll say that too — some do.
- I'm not technical — is this something I can actually run?
- No, and if it were, we wouldn't recommend it. You describe the outcome you want; we build it, train whoever needs training, and keep it running.
- How long before the first version works?
- Two to four weeks, depending on how many systems we're joining up. We start with one process genuinely worth automating, prove it works, then decide whether the next one deserves the trouble — rather than transforming everything at once and getting nowhere. If the honest answer is that you don't need this, you hear it before the invoice, not after.
- Where does our data actually go?
- Into business accounts with written data-processing terms, never a consumer tool, and never into a prompt. Sensitive records stay in systems designed to hold them. We'll walk you through it in plain terms rather than asking you to take our word for it.
